Welcome to CareerPage.ai. These Terms of Service govern your access to and use of CareerPage.ai, including our website, dashboard, career page builder, applicant tracking tools, reference collection tools, messaging features, AI features, widgets, and related services.

By creating an account, using CareerPage.ai, submitting information through a CareerPage-powered application form, or accessing any part of the platform, you agree to these Terms. If you do not agree, you should not use CareerPage.ai.

1. Who We Are

CareerPage.ai provides software that helps companies, recruiters, staffing agencies, and organizations create career pages, publish job openings, collect applications, manage applicants, request references, communicate with candidates, organize hiring pipelines, and use AI-assisted tools to review and manage hiring information.

In these Terms:

“CareerPage.ai,” “we,” “us,” or “our” means the company operating the CareerPage.ai platform.
“Customer,” “you,” or “your” means the organization or person creating an account or using the platform.
“Candidate” means a person applying to a job or submitting information through a CareerPage-powered form.
“Reference” means a person submitted by a Candidate or contacted through the platform to provide employment or character feedback.
“Services” means the CareerPage.ai platform, website, widgets, dashboards, AI tools, messaging tools, reference tools, and related features.

2. Eligibility and Authority

You may use CareerPage.ai only if you are legally able to enter into a binding agreement. If you use CareerPage.ai on behalf of a company, agency, church, nonprofit, or other organization, you confirm that you have authority to accept these Terms on behalf of that organization.

You are responsible for making sure that all users you invite to your workspace follow these Terms.

3. Accounts and Security

To use certain features, you may need to create an account. You agree to provide accurate information and keep your account information up to date.

You are responsible for:

keeping your login credentials secure.
all activity that happens under your account.
making sure only authorized people access your workspace.
notifying us if you believe your account has been accessed without permission.

We are not responsible for losses caused by your failure to protect your account credentials.

4. Use of the Services

You may use CareerPage.ai only for lawful business, recruitment, hiring, staffing, onboarding, and related organizational purposes.

You agree not to:

use the Services for illegal, fraudulent, deceptive, or harmful activities.
submit false, misleading, or unauthorized job postings.
impersonate another person or organization.
collect personal data without a lawful basis or proper notice.
discriminate unlawfully against applicants, candidates, employees, contractors, or references.
upload malicious code, spam, or harmful content.
attempt to reverse engineer, copy, scrape, disrupt, or overload the platform.
use the platform to send unsolicited messages in violation of applicable law.
use AI outputs as the sole basis for employment decisions without human review where such review is legally or ethically required.

We may suspend or terminate accounts that violate these Terms or create risk for CareerPage.ai, our users, candidates, references, or the platform.

5. Customer Responsibilities

You are responsible for how you use CareerPage.ai and for your hiring, recruiting, employment, and data protection practices.

You are responsible for:

ensuring your job postings are accurate, lawful, and not misleading.
complying with employment, labor, anti-discrimination, privacy, data protection, and recruitment laws that apply to you.
obtaining any required permissions or consents before collecting, uploading, processing, or sharing personal data.
reviewing applicant, candidate, reference, and AI-generated information before making decisions.
deciding who has access to your workspace and candidate data.
maintaining your own hiring policies, notices, and procedures.

CareerPage.ai provides software tools. We do not make hiring decisions for you, act as an employer, provide legal advice, or guarantee hiring outcomes

6. Candidates and References

Candidates may submit information through CareerPage-powered pages, including names, contact details, resumes, profile details, answers to application questions, media files, links, video introductions, voice recordings, references, and other information.

References may submit contact details, relationship information, employment feedback, performance comments, and other information requested through the platform.

If you use CareerPage.ai to request references, you are responsible for making sure your reference process complies with applicable law and that candidates understand how reference information may be requested and used.

You agree not to misuse candidate or reference information, including by using it for unrelated purposes without a lawful basis.

7. AI Features

CareerPage.ai may include AI-assisted features that help summarize resumes, generate applicant overviews, answer questions about applicants or hiring data, categorize information, assist with job descriptions, or support other hiring workflows.

AI outputs may be incomplete, inaccurate, outdated, biased, or inappropriate. You are responsible for reviewing AI outputs before relying on them.

You agree that:

AI outputs should support human decision-making, not replace it.
you will not treat AI-generated summaries, rankings, or answers as guaranteed facts.
you are responsible for verifying important information directly with candidates, references, or other reliable sources.
you are responsible for compliance with laws that apply to automated decision-making, employment screening, and candidate evaluation.

CareerPage.ai does not guarantee that AI outputs will be accurate, lawful for your specific use case, unbiased, or suitable for any particular employment decision.

8. Content and Data You Submit

You retain ownership of the content and data you submit to CareerPage.ai, including job postings, company information, applicant data, candidate data, reference data, messages, notes, uploaded files, and workspace content.

You grant CareerPage.ai a limited license to host, store, process, transmit, display, analyze, and use your content and data as needed to provide, maintain, secure, improve, and support the Services.

You confirm that you have the necessary rights and lawful basis to submit, upload, store, process, and use the data you place in CareerPage.ai.

9. Privacy and Data Protection

Our collection and use of personal data is described in our Privacy Policy, which will form part of these Terms once published.

Customers are responsible for their own compliance with applicable privacy and data protection laws, including laws related to candidate data, employee data, reference data, and hiring records.

Depending on how you use CareerPage.ai, you may act as a data controller, business, employer, recruiter, staffing agency, processor, service provider, or another legally defined role under applicable law. You are responsible for understanding and fulfilling your obligations.

Where required, we may provide or enter into additional data processing terms.

10. Messaging and Communications

CareerPage.ai may allow you to send messages to candidates, references, applicants, employees, contractors, workspace users, or other contacts.

You are responsible for the content of your messages and for complying with laws that apply to email, SMS, direct messaging, recruitment outreach, marketing, and electronic communications.

You agree not to use CareerPage.ai to send spam, deceptive messages, abusive content, harassment, or unlawful communications.

11. Subscriptions, Fees, and Payment

Some parts of CareerPage.ai may be free. Other features may require a paid subscription or usage-based fee.

If you purchase a paid plan, you agree to pay all applicable fees, taxes, and charges according to the plan you select.

Unless otherwise stated:

fees are billed in advance.
subscriptions may renew automatically.
payments are non-refundable except where required by law or expressly stated by us.
we may change pricing or plan features by giving notice where required.
failure to pay may result in suspension or termination of access.

Any special pricing, free trial, beta access, discount, or custom arrangement may be subject to additional terms.

12. Free Trials and Beta Features

We may offer free trials, beta features, early access features, or experimental tools.

Beta features may be incomplete, unstable, changed, removed, or discontinued at any time. We provide beta features as-is and without any guarantee that they will continue to be available.

You should not rely on beta features for critical workflows without backup processes.

13. Third-Party Services and Integrations

CareerPage.ai may integrate with third-party tools, websites, job boards, email providers, calendar providers, AI providers, payment processors, storage services, social platforms, or other external services.

Your use of third-party services may be governed by their own terms and privacy policies. We are not responsible for third-party services, third-party content, downtime, data practices, or changes made by third-party providers.

14. Widgets and Career Pages

CareerPage.ai may allow you to embed widgets or career pages on your website or share hosted career page links.

You are responsible for:

ensuring the widget or career page is used lawfully.
displaying any required notices, consents, or disclosures.
ensuring your website and hiring pages comply with applicable laws.
making sure your job postings, branding, and application questions are accurate and appropriate.

We may remove or disable widgets, pages, or job postings that violate these Terms or create legal, security, platform, or reputational risk.

15. Intellectual Property

CareerPage.ai, including the platform, software, design, interface, workflows, templates, AI features, branding, documentation, and related technology, is owned by CareerPage.ai or its licensors.

These Terms do not transfer any ownership rights in CareerPage.ai to you.

You may not copy, modify, distribute, sell, lease, reverse engineer, or create derivative works from CareerPage.ai unless we give you written permission or the law allows it.

You may use our name or logo only with our permission, unless allowed by law.

16. Feedback

If you give us feedback, suggestions, ideas, bug reports, feature requests, or recommendations, you allow us to use them without restriction or compensation to you.

We may use feedback to improve, modify, market, or develop CareerPage.ai.

17. Confidentiality

You may receive non-public information about CareerPage.ai, including beta features, pricing, product plans, technical information, or business information. You agree not to disclose confidential information unless authorized or legally required.

We will take reasonable steps to protect your confidential business information, but you are responsible for controlling what you upload and who you invite into your workspace.

18. Security

We use reasonable technical and organizational measures designed to protect the Services. However, no system is completely secure.

You are responsible for using strong passwords, limiting user access, reviewing permissions, and protecting exported data.

You agree not to test, scan, attack, disrupt, or bypass the security of CareerPage.ai without written permission.

19. Data Backups and Availability

We aim to keep CareerPage.ai available and reliable, but we do not guarantee uninterrupted service.

The Services may be unavailable due to maintenance, updates, outages, third-party failures, security issues, or events outside our control.

You are responsible for keeping copies of important data, records, hiring decisions, compliance documents, and exported materials where needed.

20. Suspension and Termination

You may stop using CareerPage.ai at any time.

We may suspend or terminate your access if:

you violate these Terms.
you fail to pay fees when due.
your use creates risk for the platform or other users.
we are required to do so by law.
we discontinue the Services or a feature.
your account is inactive for an extended period.

After termination, you may lose access to your workspace, career pages, applicant data, references, messages, uploaded files, and other content. We may retain or delete data according to our Privacy Policy, legal obligations, internal policies, and any applicable data processing terms.

21. Disclaimers

CareerPage.ai is provided on an “as is” and “as available” basis.

To the maximum extent permitted by law, we disclaim all warranties, whether express, implied, statutory, or otherwise, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, availability, security, and reliability.

We do not guarantee that:

you will receive applicants.
candidates will be qualified.
references will respond.
hiring outcomes will improve.
AI outputs will be accurate.
job postings will perform.
the Services will be uninterrupted or error-free.
the Services will meet every legal requirement for your specific location, industry, or hiring process.

You use CareerPage.ai at your own risk.

22. Limitation of Liability

To the maximum extent permitted by law, CareerPage.ai will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost business, lost data, loss of goodwill, hiring mistakes, employment claims, candidate disputes, reference disputes, or business interruption.

To the maximum extent permitted by law, our total liability for all claims related to the Services will not exceed the amount you paid to CareerPage.ai for the Services during the three months before the event giving rise to the claim, or 100 USD if you have not paid us.

Some jurisdictions do not allow certain limitations of liability, so some limitations may not apply to you.

23. Indemnification

You agree to defend, indemnify, and hold harmless CareerPage.ai, its owners, directors, employees, contractors, partners, service providers, and affiliates from any claims, damages, losses, liabilities, costs, and expenses arising from:

your use of the Services.
your job postings, hiring process, or employment decisions.
your content or data.
your violation of these Terms.
your violation of applicable law.
your violation of candidate, employee, applicant, reference, or third-party rights.
your misuse of AI outputs or platform features.

24. Changes to the Services

We may modify, improve, suspend, replace, or discontinue parts of CareerPage.ai at any time.

We may add or remove features, change workflows, update pricing, adjust limits, or modify the platform to improve performance, security, compliance, or business operations.

25. Changes to These Terms

We may update these Terms from time to time. If changes are material, we may provide notice by email, in-app message, website notice, or another reasonable method.

Your continued use of CareerPage.ai after updated Terms become effective means you accept the updated Terms.

26. Governing Law and Disputes

These Terms will be governed by the laws of [Insert Jurisdiction], without regard to conflict of law rules.

Any disputes arising from or relating to these Terms or the Services will be resolved in the courts located in [Insert Venue], unless applicable law requires another forum.

You confirm that you are not located in, organized under the laws of, or ordinarily resident in a country or region subject to comprehensive sanctions, and that you are not a restricted party under applicable sanctions rules.

29. Additional Terms for Agencies and Multi-Brand Users

If you use CareerPage.ai to manage hiring for multiple clients, brands, companies, departments, or locations, you are responsible for ensuring that you have authority to create pages, collect applicant data, request references, communicate with candidates, and process data on behalf of each client or brand.

You agree not to mix, expose, share, or misuse candidate data between clients, brands, or workspaces unless you have a lawful basis and authorization to do so.

30. Human Review Required

CareerPage.ai may help organize, summarize, and surface information. It does not replace human judgment.

You are responsible for using trained human review before making hiring, rejection, compensation, promotion, onboarding, or employment-related decisions.

You should not rely only on automated summaries, AI answers, reference scores, tags, or candidate fields when making decisions that significantly affect a person.

31. No Recruitment Agency Relationship

Unless we separately agree in writing, CareerPage.ai is not acting as a recruiter, staffing agency, employment agency, employer of record, background check provider, legal advisor, or human resources consultant.

We provide software. You remain responsible for your recruitment, hiring, employment, compliance, and candidate communication decisions.
